Apple Wallet
Apple Wallet membership cards for associations
Members add their card to Apple Wallet in two taps. It carries your association's name, their name and a permanent QR code, and it stays one tap away on the iPhone.
- Signed Apple pass
- English, French, German labels
- No app to install
What members get
Wallet is where people already keep boarding passes, tickets and loyalty cards. A membership card there is found in seconds, without opening a browser or remembering a password, and it keeps displaying even when the phone has no signal.
The Nexpense pass is a clean card in Nexpense blue that carries your association's name and logo. It shows the member's name, your association and the date they joined, plus a large QR code that your team can scan.
How a member adds the pass
Open the member portal on an iPhone
Sign in with the email and password they already use for your association.
Go to Member card
Below the QR code is the Add to Apple Wallet button.
Tap Add
Wallet previews the pass. One more tap adds it next to their other cards.
The button only appears when Wallet is available on the platform, so members never see a broken option. Android users keep using the card in the portal, which works on any device. Google Wallet is not supported yet.
What is inside the pass
- A permanent identity. The pass is tied to the member's permanent card number, so it never has to be re-issued.
- The same QR code as the web card. Staff scan both in exactly the same way and see the same live result.
- Native languages. Field labels use Wallet's own localisation, so the pass shows in the member's language: English, French or German.
- No sharing. The pass is flagged as non-shareable in Wallet.
- Prepared for updates. Each pass is built with the update hooks Wallet expects, so future changes will not require members to add it again.
Like the web card, the pass holds no status or fee. Those are always looked up when staff scan, so a pass can never show stale information.
What administrators need to do
Nothing. Nexpense signs the passes with its own Apple certificate, so your association does not need an Apple developer account, certificates or any technical setup. As soon as a member is active and has verified their email, they can add their pass.
To get members to use it, announce it once. A short email broadcast that says “Add your membership card to Apple Wallet” is usually enough, and you can repeat it before your first big event of the season.
Checking passes at the door

Staff do not need a special reader. They open the Scan card page on any phone and point it at the member's screen. The result shows name, status and whether the fee is paid for the open financial period. Read more about QR code check-in.
Rolling out Apple Wallet cards in your association
Most associations introduce Wallet cards alongside the web card, not instead of it. The web card works for everyone, and Wallet is the convenience upgrade for members with an iPhone.
- Announce the digital card first, with a short email broadcast and a screenshot of the portal.
- Add your own pass to your own iPhone and show it at the next meeting, because people copy what they can see.
- Mention the Add to Apple Wallet button in a follow-up message and in the welcome email for new members.
- At the door, accept every format. The portal page, a screenshot and the Wallet pass all scan the same way.
- Review after the first event. Ask the door volunteers what slowed them down and adjust your instructions.
Because the pass and the web card carry the same permanent code, nobody has to choose once and for all. A member can start with the web card and add the pass whenever they like.
Frequently asked questions
Does the pass work without internet?
The pass is stored on the phone, so members can always show it. Scanning needs a connection on the staff device, because the member is looked up live.
What if a member changes their name?
The QR code and permanent identity stay the same, and staff always see the current profile on scan. The name printed on a pass that has already been added is not updated automatically at the moment.
Can members without an iPhone use it?
Yes. They use the digital card in the portal on any phone, tablet or computer.
Do we pay extra for Wallet?
No. It is included in every plan.
