Digital membership cards

Digital membership cards for clubs

Give every member a card that lives on their phone. No printing, no lost cards, nothing to reissue when details change. Your team checks status and fee with a single scan.

  • Never expires
  • Works as a screenshot
  • Optional Apple Wallet pass

Why clubs are moving beyond plastic and paper cards

Printed membership cards have a hidden cost. Someone designs and prints them, someone hands them out, members lose them, and every change of name or status means another card. Worse, a printed card cannot tell you whether the holder has paid this season, so the door volunteer still has to check a list.

A digital card flips this around. The card is just a code that points to the member's record. Everything that matters, such as their name, status and fee, is looked up live when the card is scanned. Nothing on the card can go out of date, and nothing needs to be reprinted.

How Nexpense member cards work

Every active member with a verified email can open Member card in their portal. It shows your association's name, the member's name and a large QR code. They can keep the page open, bookmark it on the home screen or take a screenshot; all of those keep working because the code never changes.

iPhone users can go one step further and add the card to Apple Wallet, where it sits next to their other passes. Read how Apple Wallet cards work.

What is inside the QR code

Only a random, permanent card number with a version prefix. There is no name, no status and no fee in the code, so a photo of someone's card reveals nothing about them. When staff scan it, Nexpense looks the member up on the server and shows the current picture.

What your team sees when they scan

Scan result on a phone showing an active member whose fee is paid

Staff open Scan card on any phone or tablet and point the rear camera at the code. Within a second they see the member's name, status, email, phone number, join date and whether the membership fee is paid for the open financial period. A link opens the full profile, and a session-only list of recently scanned members helps at a busy door. Learn more about QR code check-in.

Set up digital cards in four steps

  1. Add your members

Create profiles yourself or let people apply through your public registration page.

  2. Invite them to the portal

Members with an email address set a password and confirm their address once.

  3. Tell them where the card is

Send a short email broadcast: “Your digital card is in the member portal.”

  4. Scan at the door

Give your volunteers the Scan card page and the right permission. That is all.

Where digital cards help during the year

  • Season start

New and returning members open their card once and have it for the whole season, with nothing to hand out at the first training.

  • Members-only events

Volunteers confirm status and fee in a second, so the door never becomes the bottleneck.

  • General assembly

Check that voters are active, paid-up members before you hand out ballots.

  • New member welcome

The card is there as soon as the account is active and verified, so a new member can prove membership on day one.

Because the card is a page rather than an object, it also solves the “I forgot my card” problem: members almost always have their phone with them.

Privacy and security

  • The card page is available only to signed-in, active, email-verified members of your association.
  • The QR code holds an opaque identifier, never personal data.
  • Card look-ups are rate-limited per staff user and per IP address.
  • Only staff with access to the members area can scan cards.

Frequently asked questions

Do members need to install an app?

No. The card is a page in the member portal, and iPhone users can optionally add it to Apple Wallet. There is no app to download.

Does the card expire every year?

No. The code is permanent. Whether the member is active and has paid is checked live at the moment of the scan.

What if a member shares a screenshot?

The code contains no personal data, and staff see the real name on the scan result, so a borrowed card is easy to spot.
