What is membership management software?

Membership management software is a shared system that keeps everything about your members in one trustworthy place, so the board no longer depends on one person's spreadsheet.

Most associations start the same way: a member list in a spreadsheet, a treasurer with a separate bank file, event sign-ups in a chat group and a stack of printed cards in a drawer. It works until the person who maintains it changes roles, a member asks whether they have paid, or the board needs a number for the annual general meeting.

A membership system replaces those scattered pieces with one register that the whole board can use with the right level of access. It records who your members are, whether their fee is paid, which events they attend and how to reach them. A good one also gives members something back: a place to update their own details and a card that proves they belong.

What Nexpense covers

Nexpense dashboard with active members, monthly income, expenses and net balance

A member register your whole board can trust

Add members one by one or let people apply through your own public registration page. Every profile holds contact details, status, join date and any custom attributes you define, such as squad, shirt size or faculty. Search and filter in seconds, and choose which columns you see.

Membership fees without the chasing

Record income and expenses per financial period and link a fee payment to the member who made it. The member list then shows who is paid and who is not, with a one-click filter for open fees. Read more about accounting and fee tracking and our guide to tracking membership fees.

Events, registrations and waitlists

Plan training sessions, tournaments, meetings and socials in shared calendars. Set a capacity and the waitlist fills itself in order. Share a public link so guests who are not members can sign up as well.

Email that reaches the right people

Send personal emails to a group of members, or to everyone registered for one event. Names are filled in automatically, every message carries an unsubscribe link, and you see exactly what was delivered.

Digital member cards

Each member gets a QR card in their portal that never expires, plus an optional pass for Apple Wallet. Your team scans it with a phone to see status and fee in a second. See digital membership cards, Apple Wallet cards and QR code check-in.

How membership fees stay under control

Fee tracking is where spreadsheets usually fall apart. In Nexpense a fee is not a checkbox someone remembers to tick: it is a real income transaction in a category you have marked as membership fee, linked to the member and dated within a financial period.

  • The member list shows Paid or Unpaid for the selected period, and a progress bar such as “27 of 36 paid”.
  • One click shows only the unpaid members, ready to be reminded by email.
  • At the door, a scanned card shows the fee status of the open period, even for staff who cannot see the accounting.
  • At year end you download a PDF summary of income and expenses by category for your annual report.

Nexpense records payments; it does not collect them online. Members keep paying by bank transfer or cash as they do today, and your treasurer books the payment once.

Built for boards that change every year

Team access table with permissions per module for each staff member

Volunteer boards turn over. The software has to be understandable on the first day and safe when roles change. Nexpense lets you invite as many team members as you need and give each one exactly the access they require: members, accounting and calendar can each be none, read or write, and a few people can manage the team.

A treasurer sees the books, an events coordinator sees the calendar, a door volunteer can only scan cards. When someone steps down you remove their access in one click and nothing else changes. New associations also get a short setup checklist on the dashboard, so the first evening is spent adding members rather than hunting for menus.

Your members get a portal, too

Member portal home with membership status and upcoming events

Members sign in to their own portal to keep their details current, browse the calendar, register for events and show their digital card. Each association has its own login page and its own member passwords, and members can use the portal in English, French or German.

That removes a surprising amount of admin: address changes, event questions and “can you resend my membership proof?” messages all move from the board to the member.

Privacy, hosting and trust

Nexpense is planned, developed and supported in Luxembourg by NexClass. Primary processing takes place in the European Economic Area, and we design for the GDPR: each association's data is isolated from every other association, members can unsubscribe from broadcasts with a single link, and a data processing agreement is part of the sign-up. You can permanently delete your association and all its data at any time.

How to choose membership software for your association

Whichever tool you evaluate, test it against the questions your board actually asks.

  1. Can a non-technical volunteer use it on day one? Run the free trial with the person who will use it most.
  2. Does it connect fees to members? A fee list that is separate from the member list is just another spreadsheet.
  3. Can you control who sees what? Treasurers, coordinators and door staff need different access.
  4. Does it handle events and email? Fewer tools means fewer places for member data to go stale.
  5. What do members get? A portal and a digital card reduce your workload and make membership feel real.
  6. Where is the data hosted, and can you leave? Look for EU hosting, a data processing agreement and a way to delete everything.
  7. Is the price predictable? Pricing by active members per year, with every feature included, is easy to budget.
